All contracts can be submitted to CCS via email directly from the field from your sales reps. Contracts must be scanned in pdf format with the Turboscan App. CCS will log each contract, and you will receive a New Deal Log weekly showing each contract received and processed in our office for that week.
We verify the legitimacy of each contract by cross referencing the address on the Property Appraiser Database. A pdf file from the Property Appraiser Database will be emailed to your office for each file for further processing of the Permit Application. If the information on the contract does not match the Property Appraiser Database, CCS will request any supporting documentation for the permitting process i.e. marriage certificate, death certificate etc.
The Assignment of Benefits will be submitted via email to the insurance company within 24 hours of CCS receiving each contract. The sales rep will receive a carbon copy of each email. CCS will submit any additional documents requested by the insurance company to support the AOB submission. A phone call will be made to the Insurance company within 72 hours of the email submission to verbally verify confirmation of AOB. When AOB has been verbally verified, your office will receive verification via email.
Each homeowner will receive a Welcome Call from CCS within 72 hours of receiving a contract in our office. This call will thank them for choosing you as their contractor, walk them through the roofing and restoration process, and add CCS as their point of contact for any questions or concerns they have on their project. A welcome email will also be sent to each homeowner reiterating the same. Each sales rep will receive a carbon copy of the welcome email. Any correspondence between CCS and the homeowner will be relayed to the sales rep immediately.
CCS will contact the insurance company every 72 hours until an adjuster appointment has been set and the Scope of Loss has been received in the office. Your office and sales rep will be updated in real time when an adjuster appointment has been determined and when the Scope of Loss has been received.
Most roofing and restoration companies leave the responsibility on their sales reps to collect all documentation from their homeowners to move their files to the next phase in the process. Documents such as Selection Sheets, HOA Forms, Driver's License, and NOCs, are critical to moving the file to "Build Status" and sometimes this step in the process falls through the cracks with your sales reps. CCS will collect any documents that may be holding the file from going to production via email or mail. We will also submit all documentation for depreciation release and mortgage endorsements.
